Tips from Verena Schwaiger: planning guru

Verena Schwaiger is a planning guru. Here she shares how she uses different journals, notebooks, pen colours and post-it notes to create a highly organised planning system.

What are the ingredients for the perfect planner?

1. Space
I need a lot of space to write, I often write in capital letters. I don’t like lined paper, I prefer dotted or plain notepads.
 
2. The paper
It should be smooth and not too thin. This is why I appreciate the paper of the paper republic refills.
 
3. Day and Date
This should be easy to read and immediately recognizable.
 
4. The week
In Austria, especially at work, we often say “in week 10 bla bla bla…”, so it’s important to have the number of the week also.
 
5. A page showing the whole year and the next year
I like the daily planner for writing, but for the overview I like a weekly planner, so I can quickly see the whole week. Structure is very important for me!

6. Public holidays visible
 Handy to have all these dates in your planner.

What is your journal and planner set up?

I use planners for work, personal appointments and for notes. For my personal things I use a portfolio [a6] in petrol blue, with two planners:

  • weekly planner [pocket]
  • week & notes planner [pocket]

The week & notes planner is for all my errands. I use different ink colours and stickers in different colours as a planning technique. 

The weekly planner is for all my errands, to-dos and for notes. I also use different colours for lists. And I use a lot of colourful paper sheets, for example shopping lists or not so important notes. Plus I use a lot of post-it notes and stickers in different variations (month, numbers, funny things).

I also use - a grand voyageur [xl] petrol blue filled with a week & notes planner [xl], a dotted book refill [xl] and a card and cash holder [xl].

I use my [xl] planner in the same way as my pocket one, with all my personal appointments.

The book refill is for things I need the whole year: birthdays, notes about my cats etc. In the book refill, every month of the year has its own page where I note all the important things for that month. I also use the book refill for thoughts, ideas, dreams, and small paintings.

Can you give us some examples of how you use different ink colours?

Sure! I use different pen colours for different areas of my life. For example:

  • pink: dinner dates
  • purple: dates
  • red: doctor’s appointments
  • blue: things with or for my cats
  • green: work staff (in my personal planner)
  • orange: holidays, day off
  • black: other things

What about your work planner?

I use a grand voyageur [xl] in red for all my work appointments and notes, filled with a weekly planner from Moleskine and a notebook from the same brand. Both with a soft cover. I also use different colours for appointments and tasks.

What are your favourite pens for planning? 

I use a lot of different pens, most of the time I use:

  • BIC, 4 colours
  • Kaweco
  • Japanese gel pens
  • Stabilo
  • Caran d’Ache
  • Colourful highlighters

Do you have any other journals or planners?

I have another special journal from paper republic as a diary for my physical and mental feelings. It’s a grand voyageur [a4] in petrol blue filled with a week & notes planner [a4].
I use it every day as my “emotional diary”.

I note how I slept, physical sensations and pain, what was bothering me that day and why I felt that way. For each feeling I use a different ink colour. For example, green for physical pain such as headaches or red for joy.

Every Sunday I write a weekly summary and at the end of each month a monthly summary. I started this diary at a time when I wasn’t feeling well and it helps me to understand more about my feelings and more about me, so I decided to continue.
